Apply as Virtual Operations Assistant

OVERVIEW

We are seeking a highly organized and detail-oriented Virtual Assistant to support our e-commerce operations, customer service, and administrative tasks. The ideal candidate will have experience in order processing, customer communication, and content creation, as well as proficiency in e-commerce platforms such as Amazon, Shopify, QuickBooks, NMI, and CardPointe.

Key Responsibilities

Marketing & Content Creation:

  • Create and schedule Facebook captions for weekly content

  • Work on blog posts and website updates, including adding new customer testimonials

  • Design and edit content graphics for social media

Administrative Support:

  • Create and send daily reports for NMI, ClickFunnels, and Shopify sales

  • Prepare invoices for sales report

  • Communicate with service providers such as NMI, CardConnect, Elavon, and merchants regarding payment issues

  • Access card processing platforms (Elavon and Cardconnect to retrieve merchants’ monthly billing statements)

  • Access the virtual terminal (NMI) to manage user accounts, terminal configurations, and billing/fees

  • Process PCI compliance for business under different portfolios

  • Filling out merchant applications and compile necessary documents to submit to the credit card processor for review and underwriting

Customer Service & Communication:

  • Answer calls and respond to customer inquiries about products

  • Send emails containing product details, updates, or -troubleshooting guidance.

  • Assist merchants with payment processing and system walkthroughs

  • Compile and submit merchant's transaction information when fraud analysis and security reviews are triggered

Order Processing & Fulfillment:

  • Process and fulfill orders via Amazon and Shopify

  • Update tracking numbers and monitor the Ready to Ship report on -QuickBooks to ensure accurate documentation

  • Track and manage return orders and process refunds through --Shopify and NMI's payment terminals

  • Manage customer subscriptions through Shopify and NMI's payment terminals

  • Create and send daily sales reports for NMI, ClickFunnels, and Shopify.

  • Prepare invoices based on sales reports and submit them to the appropriate contacts.

  • Finished processing daily orders and generated sales reports for submission to the management team.

Qualifications

  • Experience in platforms like Amazon, Shopify, QuickBooks, NMI or CardPointe

  • Strong customer service and communication skills

  • Ability to process orders, manage tracking, and handle refunds

  • Experience with social media content creation and marketing

  • Highly organized and able to multitask effectively

  • Ability to work independently and handle multiple priorities

  • Familiarity with Elavon, Shipto, CardConnect, ClickFunnels, and CoPilot is a plus
